Blaixin Privacy Policy
Effective date: October 13, 2026
Blaixin ("Blaixin," "we," "us," or "our") provides property management software for independent motels, including reservation management, front-desk operations, guest check-in and check-out, room status tracking, reporting, AI-assisted call handling, and pricing and revenue insights where enabled.
This Privacy Policy describes how we collect, use, and disclose personal information through our website, product demonstrations, accounts, marketing communications, customer support, and services that link to this policy (collectively, the "Service").
1. Scope and motel guest information
Blaixin handles information about website visitors, prospective customers, motel owners, staff, and other people who interact directly with us.
Motel customers may also use Blaixin to process guest information, reservations, calls, identification documents, and operational records. When we process this information on a motel customer's behalf, our processing is governed by our agreement with that customer and its instructions. The motel determines how it uses guest information for its business and is responsible for its own privacy notices and obligations.
If you are a motel guest with a question about a reservation or the use of your information by a motel, contact that motel directly. You may also contact us at product@blaixin.com, and we can help direct your request to the appropriate customer.
2. Personal information we collect
The information processed depends on the features you use and the information you or a motel customer provide.
Information provided directly
- Contact and business information: Name, email address, phone number, business address, motel name, job title, and information submitted through demo requests or inquiries.
- Account information: Usernames, account identifiers, authentication information, staff roles, access permissions, and account preferences.
- Communications: Support requests, feedback, correspondence, and information provided during demonstrations or customer onboarding.
- Subscription and billing information: Plan details, invoices, transaction records, billing contacts, and payment-related information needed to administer Blaixin subscriptions.
- Marketing preferences: Communication preferences, unsubscribe requests, and engagement with marketing communications where tracking is enabled.
Information processed for motel customers
Where a customer uses the relevant features, information may include:
- Guest and reservation information: Guest names, contact details, arrival and departure dates, room assignments, booking sources, reservation status, stay history, guest requests, and notes entered by authorized staff.
- Payment-related records: Charges, refunds, deposits, transaction references, balances, and payment status. The payment information available to Blaixin depends on the payment integration and configuration.
- Identification information: Uploaded identification images and extracted details used for guest registration where an identification capture or extraction feature is enabled. Extracting text from an identification document does not by itself establish that the document or identity is authentic.
- Call and AI interaction information: Caller details, reservation inquiries, messages, transcripts, and recordings where recording is enabled and the appropriate notice and consent process is used.
- Operational information: Room status, staff activity, reservation changes, and other records entered into the PMS. Some operational records may identify guests or staff.
Customers should provide only information needed for the relevant purpose and should avoid entering unnecessary sensitive information into notes, uploads, or AI interactions.
Information from other sources
We may receive information from motel customers and their authorized staff, connected booking channels, reservation systems, payment services, communications providers, and other integrations selected by a customer. We may also receive business contact information from referrals, events, or publicly available business sources.
Information collected automatically
Our Service and its providers may collect:
- Device and browser information, IP address, operating system, language settings, and approximate location inferred from IP address.
- Pages viewed, access times, navigation activity, and interactions with the Service.
- Technical logs, errors, account access events, and security-related activity.
- Email engagement information where tracking is enabled.
3. Cookies and similar technologies
We may use cookies, browser storage, and similar technologies to operate the Service, maintain sessions, remember preferences, and understand usage. Optional analytics or advertising technologies depend on the tools deployed on our website.
Please see our Cookie Notice for details about the technologies used and available controls.
4. AI-assisted features
Blaixin may use AI services to support call handling, reservation assistance, message capture, document text extraction, and operational or revenue insights where these features are enabled.
These features may require relevant inputs, such as call audio, transcripts, reservation details, or uploaded documents, to be processed by technology providers. AI-generated outputs may contain errors and should be reviewed when accuracy matters, including before confirming guest details or acting on extracted identification information.
5. How we use personal information
We use information as needed to:
- Provide, configure, and support the Service and customer accounts.
- Process reservations and support guest check-in, check-out, room management, and other customer-authorized workflows.

Customer records may be retained according to customer instructions and contractual requirements. Some information may need to be retained for accounting, security, dispute resolution, or legal obligations. Backup copies may remain until they expire under the applicable backup schedule.
8. Your choices
Account information
You may update information through available account settings or contact us for assistance. Motel staff should contact their account administrator for changes to customer-managed access or records.
Marketing communications
You can unsubscribe from marketing emails using the instructions in those emails or by contacting product@blaixin.com. You may continue to receive messages needed to administer your account or provide the Service.
Cookies and email tracking
You can manage cookies and browser storage through browser settings and any preference controls available on the Service. Your email application may allow you to block remote images, which may limit email tracking. Disabling technologies may affect functionality.
Connected services
You may manage certain integration permissions through the relevant account settings or provider. Disconnecting an integration does not automatically delete information previously received.
Access, correction, deletion, and account closure requests
Contact product@blaixin.com to request access, correction, deletion, or account closure. Our response depends on applicable rights, account ownership, customer instructions, and any lawful retention requirements. For motel-controlled guest records, contact the motel directly.
9. State privacy rights
Depending on where you live and which privacy laws apply to Blaixin, you may have rights to obtain information about processing, access or receive a copy of your information, correct inaccuracies, request deletion, or opt out of certain processing. Some laws also provide appeal rights or rights concerning sensitive personal information.
To submit a request or appeal a decision, email product@blaixin.com. Describe your request and provide enough information for us to identify the relevant account or records. We may need to verify your identity or the authority of an agent acting on your behalf. Verification should be proportionate to the request and the sensitivity of the information.
We will handle requests subject to applicable requirements and exceptions. You may exercise applicable rights without unlawful discrimination.
10. Security
We use safeguards designed to protect personal information. No internet service or storage system can guarantee complete security. Customers and users should protect account credentials, maintain appropriate permissions, and notify us of suspected unauthorized access.
11. International processing
Information may be processed in locations where Blaixin or its providers operate. Privacy protections may differ between locations.
12. Children
Blaixin's business accounts and website are intended for adult business users. Motel customer records may include information about minors traveling with guests; this information is processed in the context of the motel's services and instructions.
If you believe a child has provided information directly to Blaixin inappropriately, contact product@blaixin.com so we can investigate and take appropriate action.
13. Third-party services
The Service may link to or integrate with services operated by third parties. Their handling of information may be governed by their own notices and agreements. Review those notices when using a connected service.
14. Changes to this policy
We may update this policy to reflect changes in the Service or our practices. We will update the effective date and provide additional notice where required.
